How to set up a Mini Workshop...

The Budget

Instuctors Fees

-- Generally, most instructors will charge by the hour and many instuctors will have different packages that you can pick from. The cost will range between $75 - $100 if alone to $100-$150 per hour if they come with an assistant. Another way that instuctors charge is by person/class (anywhere from $5-$10/person) If an instuctor is driving to another city, most will have minimum hours that they may want to teach to make it worth their while.

Cost of Venue

-- The cost of the venue may range any where from $45 per hour - $500 per day. (Convention/ballrooms may range from $500 - $1000. Remember!! People are wanting to learn how to dance. A convention centre may be overkill!! The size of the event will determine the size of the hall. Remember! Dance instructors want to share their gift. Where they share their gift isn't as important as the sharing! (witnin reason -- airconditioning / fans may be important in the summer. J)

Possible Senario

-- Calculate your minimum numbers and see if it is possible. Here is an example of a possible sinario.

cost of hall $40/hr $40
cost of instructor $100/hr $100
Total cost   $140
Break even.. 14 people $10/perosn (7couples) $140

For this Example, I would sugest that 10 couple be confirmed. That way you can cover the cost of our famous GST and the people that didn't show up. I also sugest that people prepay so that you know that you won't pay out of your pocket.

Possible Senario (6 class series)

-- Extending the senario above!

cost of hall $40/hr x 6 classes $240
cost of instructor $100/hr x 6 classes $600
Total cost   $840
Break even... 14 people $60/person (7 couples) for the whole series $840
~~
More the people, less the cost! 20 people $45/person (10 couples) for the whole series $900

For the example above, once again, I encourage that as many couples be confirmed (and prepaid) as possible. That would give you a more accurate figure as to how much to charge per person.

In the last example the cost would be $45 per person for the six class series. The total amount would be $900. Remember that if you can encourage more couples to join the class, if the cost per person would be less.

Bookling extra private lessons for the instructor will also make it worth their while to travel to out of town locations. You can save room rental costs by holding any private lessons at someone's house - basement studio, hardwood dining room, etc.
